Capacity planning

Description

To be able to calculate the planned workload of an employee, workstation, machine or other resource against the available time budget, a total planned time for a period (usually calendar weeks) must be entered.

Here the full working time is given without taking holidays into account, e.g. for employees with 40 hour weeks for one year 8 hours daily.

Capacity planning therefore only forms the basic time frame of the employee. Absence times, such as holiday or illness, are maintained via the employee's absence times, which automatically reduces the planned capacity in this period by the employee and all assigned work groups.

Employees and work groups can be planned precisely by the day, other resources only by the week.

For employees, it is advisable to schedule the capacity in normal daily working hours, i.e. as a rule, 8h is entered in the Capacity field and the grid is set to "Days".
The weekly working time is only extrapolated and also entered for employees on the basis of the daily capacity (8h) times the number of working days within the calendar week. An evaluation is therefore later possible both on a daily and weekly basis.
The planned capacity is then saved by clicking on the "Set capacity" button.

General capacity planning:

Planning the capacity for a resource is always done in 3 steps (please refer to the links to the different areas for more detailed explanations of the individual topics)

Step 1: Set the available capacity of the resource

In capacity planning, you determine how much working time is available at a resource for dispatching.

Step 2: Planning of requirements

The planning of requirements depends on the type of resource: Workstations, work groups and machines are posted via posted work plans in production, employees only via service provider groups in quotations, orders and service assignments.

Step 3: Overview of the planned capacity:

Via the capacity utilisation or the work list, the planned requirements of the resources can be viewed or compared against its available capacity, e.g. to identify bottlenecks in time and to be able to avoid them by rescheduling.
Rescheduling can be circumvented in production, e.g. by external work sequences or by ordering parts that were actually produced in-house. There are a number of other possibilities to avoid a bottleneck in production. A few keywords: alternative resource, rescheduling, flexible disposition, provision of materials...
In the case of service provider groups, a bottleneck is only possible by reassigning the performing employee or by rescheduling the appointment.

Capacity planning is carried out in the specified period (date range) in the selected grids (calendar weeks by default).
These grids should only be changed in connection with the change in the posting of work sequences, so that the working times actually posted can actually be calculated against the planned times entered. For employees, the standard grid is "days".

With "Set capacity" the entered planned times within the entered time period are then written to the resources (employees, workstations, work groups) located in the list "Selected resources" below.

Specificity Staff capacity+working group capacity:

If the capacity of employees is set in days (grid "days"), the sum of all newly planned working days contained in a week is also transferred to the superordinate week. In addition, the capacities of all work groups to which the employee is assigned are adjusted.

The capacity of work groups is thus automatically determined based on all assigned employees.

If employees (who already have a capacity planning) are assigned to work groups at a later date, the total capacity of the work groups can be determined automatically. To do this, use the menu item "Capacity planning-->Determine capacity from subordinate resources"(see below in the "Menu" table)

When recalculating the capacity, the already planned absences of the employees are automatically taken into account. So if an employee has an entered absence (holiday or illness...) on one day, then this time period will not be occupied with new capacity even if the capacities are reallocated!

Determine capacity from subordinate resources In the case of working groups, the capacity is calculated from all resources allocated to it. However, if the capacity of a workgroup has been changed manually or if employees have been added to the group after planning, it can be determined again and saved using this menu item. The existing capacities are always overwritten, so there is no option whether the existing values should remain unchanged!

Field Description
Period -
: Date range In the field "Date range" you can specify the time period for which the capacities are to be (re-)set.
: Overwrite existing capacity planning If a month is newly planned in which, for example, an employee had already been manually assigned a capacity of 12 hours on exactly one day - which is to be retained when planning again - this check mark must not be set. Otherwise the system would ignore all previously planned basic capacities. Leave and sick leave, however, which are recorded as employee absences, are retained in any case.
: Set capacity also on weekends/holidays With a "day" grid, you can specify whether the capacity should also be set for non-working days.
Capacity The capacity must be set to the working hours within a period selected in the Grid field. For employees with the "Days" grid set, for example 8h.
: manual setting The capacity is set manually using the value in this field.
: from employees The capacity is determined from the employees' working time models. This option can only be set if employees with working time models are defined in the system and these are selected as resources.
: from working groups The capacity is determined from the capacities of the working groups. This option can only be set if arebit groups are defined in the system and these are selected as resources.
Grid The grid is the planning unit with which capacities are allocated. For employees and work groups it is possible to enter the planning to the day. For machines and other resources, this is only possible on a weekly basis, since in production, the earliest and latest dates are also used for planning, which makes day-based planning impossible or impractical.
Day Only possible for employees and working groups. The weekly capacity is automatically saved and calculated from all working days with the entered capacity.
In the field "manual specification", for example, a value such as 8h would be entered for day-based planning.
: week If you plan weekly, the field "manual input" would contain a value like 40h .
Month Not implemented in the standard and therefore has no impact.
: Quarter Not implemented in the standard and therefore has no impact.
Other capacity lines Purely informative information: Further capacity lines can be inserted here. Example: If the actual capacity of a resource is 40 hours per week but 15 hours of this are always already firmly allocated, the 25 remaining hours must be entered as available capacity for this work center. However, to obtain a complete overview of the complete capacity, you can now enter 2 capacity lines for the basic load and the project load. The base load is therefore the 15 hours consumed each month to which the 25 hours project load are added. The capacity could also be increased again by using temporary workers. However, these values are purely informative and can also be displayed graphically.

If no capacity lines are specified when clicking the OK button, the previously entered capacity lines are not changed. If there are any on the mask, the existing ones in the selected period are deleted and saved again. These capacity lines will NOT be added to superior date periods.

Selected resources The capacity can be allocated for several employees or resources at the same time. It is therefore advisable to select all 40 hours/week employees in the employee list at the beginning of the year, call up the capacity planning, set the period to the new year and the capacity to 8 hours and save the capacities with OK.
